The conversation centered on the concept of allowing SharePoint sites and Microsoft Teams to be subject to disposition review as aggregations (as opposed to each record needing to be reviewed individually).
Triggering Retention in Microsoft 365

National Records of Scotland - M365/PRSA Special Surgery
Invited to speak at the Public Records Scotland Act Special Surgery on Microsoft 365, Rob provided a detailed discussion on the four different triggers that Microsoft 365 provides at the beginning of the of the retention period. The focus of the presentation was on 'event-based' retention, with Rob providing some practical examples of how events can be automated to to avoid the potential for manual mistakes.

During this session Rob provided an overview of the way that Microsoft 365’s retention labels and retention policies work and how they can be applied to your content. The presentation explores key questions around any records management architecture in Microsoft 365, including:

Different architectural approaches are considered to help attendees feel empowered when making key decisions around the application of retention in their tenancies.

Orinoco 365: Overcoming the challenge of managing records in Microsoft 365

This session explored all of the different ways that retention labels can be applied to content in Microsoft 365, from sensitive information types to trainable classifiers and SharePoint Premium's content processing models. Rob suggested that while all of the methods are valuable in the right situation, the application of default retention labels offers the best overall approach in most scenarios.
Rob then introduced Orinoco 365 - the new provisioning tool designed specifically for Records Managers, as one potentially approach for automatically applying default retention labels to the Sites and Teams that are created in your tenant.
Microsoft 365 Maturity Model

The Microsoft 365 Maturity Model has been created by the Public Access & Government Services team within The National Archives (TNA) as a practical assessment tool to provide guidance for organisations around their approach to information governance in Microsoft 365. The Model was developed and benchmarked in consultation with the Government Knowledge Information Management M365 User Group, who provided feedback on draft maturity questions and statements. This resulted in a clear consensus on what constitutes ‘inadequate, ‘adequate’ and ‘optimal’ performance in M365 KIM practice. As Microsoft 365 is an evergreen platform that is continuously evolving, it is important that the model is kept up to date when updates and new features are introduced. Therefore, to support the framework’s continued development, TNA and IRMS (Information & Records Management Society) have decided to form a M365 Maturity Model working group.

Conquering the digital heap

A phrase first coined by a senior UK civil servant to describe the problem of uncontrolled accumulations of information and data, this is a universal problem for organisations in all sectors. Apart from the legal and compliance issues caused by digital heaps, they also can obscure access to vital records needed for historical research, or public inquiries or prevent organisations from having an effective corporate memory. In this seminar, Lise Jaillant will discuss the imperative of access to records, drawing on her research into how technology, including artificial intelligence might assist future researchers, Rob Bath will discuss how Microsoft 365 can create heaps but also help you to manage them, and David Canning will showcase how the Cabinet Office got control of its heap, and is using automation and algorithms to select records for preservation.
The application of AI to records management in Microsoft 365
